How to Run Club Meetings People Look Forward To
Agendas, facilitation, timing and follow-up habits that make meetings worth attending.
A great meeting leaves people wanting the next one. A bad one makes them quietly check their calendars. The difference is rarely charisma — it's structure.
Before the meeting
- Send the agenda 48 hours ahead so people come prepared.
- Keep business to under a quarter of the time. People join clubs for the activity, not the admin.
- Assign a timekeeper and a note-taker.
- Prepare the room — chairs in a circle for discussion, name tags for newcomers.
A proven agenda shape
- Welcome and introductions (5–10%)
- Quick approval of last minutes (5%)
- Reports from officers (10%)
- Main activity or discussion (50–60%)
- New business and open floor (10%)
- Announcements and next date (5%)
Our agenda builder creates this shape automatically with clock times.
During the meeting
- Start on time. Waiting for latecomers punishes those who came early.
- Invite quiet voices by name, gently.
- Park tangents on a visible list to revisit later.
- Decide, don't drift. End each discussion item with a decision, an owner or a deadline.
After the meeting
- Send a short recap within 24 hours: decisions, owners, next date, a photo.
- Thank anyone who contributed.
- Follow up personally with first-time attendees.
Online and hybrid meetings
Keep cameras optional but encouraged, use the chat for questions, and limit sessions to about an hour. For hybrid meetings, have a dedicated person watching the online participants so they aren't forgotten.
